We’re reshaping winter, Payflip 2.0 & warrants
The leaves are turning, the mornings are getting darker, and the closing of the end-of-year premium is officially around the corner. 🍂
In this edition: a teaser of a reshaped winter season, looking back on our yearly Payflip event, a fresh look at Payflip 2.0 that will be available to your employees pretty soon, and the questions that landed in our inbox most often this month.
Grab a coffee, let's get you up to speed! 🎃
Closing & relaunch: we’re reshaping winter ❄️
Closing your plan and relaunching it for the new year is one of the most important things you do in Payflip all year. It should feel like a breeze, not a big operation.
That’s why we’re doing things differently this season: there won’t be a winter webinar this year. But don’t worry, we’ve got you covered! Instead, we’re building a brand-new Relaunch Hub, right inside your admin tool, that guides you through the entire process step by step: what to do, when to do it and where to click, at your own pace. 💪🏼
You can expect it soon! 👀
Looking back on our yearly Payflip event.
On October 1, we brought many of you together at De Vleeshalle in Mechelen for an evening celebrating HR. Food trucks, great conversations and plenty of laughs — it was everything we’d hoped for and more.
The best part? Getting to meet you in person. We spend all year emailing and chatting, so finally putting a face to the name in your email signature was a real highlight. Hearing your stories, what’s working well, what could be better and what’s keeping you busy, helps us make Payflip better every day.
A big thank you to everyone who joined us and made the evening so special. 💜
We also gave a first glimpse of what’s next for Payflip, straight from our founders. Couldn’t make it? Don’t worry, we’ll be sharing more about our plans with all of you very soon.
Stay tuned — exciting things are ahead! 👀
The new employee tool is beginning to roll out to more companies 📱
Last month we started rolling out our redesigned, mobile-first employee tool to the first group of customers. If your company is part of this wave, you've already received a heads-up from us two weeks in advance. What does this mean for you? Nothing changes in your admin tool: you keep reviewing and approving choices exactly as before. Your employees keep all their existing choices and data. Haven’t received an email yet but can’t wait? Read more on the upcoming changes in the following article.
Raising meal vouchers? 2026 is the window ⏳
Since 1 January 2026, a meal voucher can be worth up to €10 (maximum employer contribution €8.91, minimum employee contribution €1.09), and it stays exempt from social security contributions and tax as long as all conditions are met. With the wage norm at 0% for 2025–2026, there's a temporary exception: an increase of up to €2 per voucher doesn't count towards the wage norm, but only for increases granted in 2026. From 1 January 2027, the regular rules apply again.
The increase isn't automatic: it has to be laid down in a CLA or, if there's none, in an individual agreement. What does this mean for you? If you're considering a higher meal voucher value make sure it's arranged before the end of the year.
An employee chose warrants. What exactly do I need to check before I approve?"
The main thing to check is that the amount stays within the annual limit of 20% of the employee's total annual salary. You'll find more about this rule under "Read more" on the "Warrants via Optiniti" benefit. If it's within the limit, click the green button to approve, and Payflip takes care of passing everything to Optiniti before the grant date.
Working with another warrant partner? Then you also communicate the choice to that partner yourself and click "Confirm order" under "Admin tasks".
Got questions? Feel free to chat with our team, we’re happy to help!
Have a great day and see you in the next edition! 👋
