The 4 steps to activate the ‘Private Health Insurance Reimbursement’ benefit

Want to make your flex plan even more attractive for your employees?
With this benefit, you give them the opportunity to have their own private health insurance premium (or that of their family) partially or fully reimbursed.

The big advantage?

You offer your employees the chance to invest in their own health and that of their family members.

No employee social security contributions (13.07%) are due on the reimbursed amount.

Navigate in the Payflip admin tool to Organisation > Benefits > ‘Private health insurance reimbursement’. Click on ‘read more’ for concrete details and a detailed calculation.


Activating the benefit

⚠️ This benefit is visible to all admins in the Payflip admin tool, but as long as the status is not set to active, your employees won’t be able to see it.

1. Request the correct payroll code from your social secretariat

Once you approve a reimbursement, it will appear in that month’s payroll. The submitted amount will be added without social security contributions—but for this, we need the correct payroll code.

You can use the email template below to request this code from your social secretariat.

We will soon be adding a new benefit to our Payflip flex plan: ‘private health insurance reimbursement’. With this, our employees can have their private health insurance reimbursed, both for themselves and for their families.

To process these choices correctly in the payroll, we need to know which payroll code we should enter in Payflip. This code must be exempt from employee social security contributions.

When employees select this benefit, their choices will be included in the monthly payroll files delivered by Payflip.

2. Enter the payroll code in Payflip

Received the payroll code? Perfect! Now you can enter it:

Go to Payroll > Payroll codes and fill in the code in the designated field. Don’t forget to save your changes.


3. Activate the benefit

⚠️ Only do this after your social secretariat has provided the payroll code. Otherwise, the first requests may not be processed correctly in payroll.

In the Payflip admin tool, go to Organisation > Benefits > Private health insurance reimbursement and click on ‘activate’.

  • Configure the settings

  1. Indicate whether you want to use the general conditions system.
    💡 Tip: Most of our clients choose this option. You can always check another benefit to see if it’s activated there.

  2. Indicate which budgets can be used for this benefit and whether they can be combined.

  3. Activate the benefit.


4. Inform your employees

Time to make some buzz about it! Don’t forget to inform your employees about this brand-new benefit in your flex plan. 😉

Great news! 🎉 We’ve added a brand-new benefit to our Payflip flex plan: ‘private health insurance reimbursement’. You can select this benefit if you (and/or your family members) already have a private insurance policy. This private insurance can cover various types of health insurance: hospitalisation, outpatient care, or dental insurance.

What do you need to do?

Log in to the Payflip tool and look for the benefit ‘private health insurance reimbursement’. You’ll need to provide proof of payment showing the premiums you paid to your insurance company. Once approved by HR, you’ll receive the amount with your next payslip.
