1. How does the Liantis integration work?

General principle
​

The Liantis integration ensures automatic synchronization of employee data and wage data between Liantis and Payflip. This sync happens automatically every night. πŸ˜€

Thanks to this integration, you as an HR admin only need to maintain employee data once: in Liantis. This data is automatically forwarded to Payflip, saving you a lot of time and avoiding errors.

πŸ’‘ Important: Liantis remains the 'master' of the data at all times.

  • Every change must always be made in your Liantis HR tool. It then flows through to Payflip via the nightly sync. ➑ If the email address is missing for employees, for example, you must first add it in MyLiantis and then synchronize again

  • Certain fields and actions in Payflip will be disabled. You cannot edit these in Payflip. You will always be informed about the reason for this and redirected to your Liantis HR tool if necessary.

Need a faster update during the day? In addition to the nightly sync, you can always trigger the sync manually by navigating to Integrations > Liantis > 'Sync now'.

Which data is synchronized? βœ…

The integration synchronizes two main categories of data:

1. Personal employee data

  • First name

  • Last name

  • Email address

  • Language (⚠️ only during first sync - changes in Payflip are retained afterwards)

  • Start date

  • Employee number (Payroll ID)

2. Wage data (wage contracts)

  • Wage type (hourly rate / monthly salary)

  • Gross salary (automatically converted to monthly salary for white-collar workers)

  • Contract start date

  • Contract end date (if available)

  • Work regime (full-time percentage)

  • Employer social security percentage

Which data is NOT synchronized? ❌

The following data/situations are not part of the nightly sync:

  • End dates. Read here what actions you need to take in Payflip when one of your employees leaves your company.

  • Salary components. Read here how you can add this for your employees.

  • Entity change. When your company has multiple entities and one of your employees is moved from entity A to entity B, this will not be automatically handled by the integration. If the employee keeps the same email address, this will moreover result in a sync error because Payflip detects that a Payflip account already exists for this email address. Contact our support team via the blue button in the tool to review this situation together.


2. What do you still need to do as an admin despite the integration?

Although the Liantis integration automatically synchronizes certain data of your employees, certain actions remain necessary on your part:

Mandatory administrative actions

  1. Assign budgets: The integration does not automatically assign the budget(s) for your employees. You must assign them manually in Payflip. How to do this?

  2. Invite employees to the tool: Even if the employee's data is synchronized, you still need to send the invitation so they can access Payflip and use the platform. How to do this?

3. How do you activate the Liantis integration?

Once your customer success manager has set up the Liantis integration for you, you can start activating it.

Step 1: Navigate to integrations and log in:

  1. Go to Settings > Integrations

  2. Click on Liantis integration

  3. Log in.
    ​
    The connection will then be automatically made based on the VAT number of your company entered under 'Company details' in Payflip.​

​Step 2: Give consent at Liantis πŸ”

You must give consent so that data from Liantis can be sent to Payflip. When activating the integration, you will be automatically redirected to Liantis to grant this consent.

Your privacy is important to us and our partner Liantis, which is why you need to give consent to exchange your data between Liantis and Payflip. Upon activation, you will be automatically redirected to MyLiantis to grant this consent. Please note, this can only be done by someone who is registered as a main user within MyLiantis, otherwise granting consent will not work and the integration cannot be activated.

You only need to give this consent once.

βœ… After giving consent, you will be redirected back to Payflip to complete the integration setup.


​Step 3: Choose your sync method

You have two options:

Option 1: Full integration (automatic) ✨

  • What happens?

    • All current and future employees are automatically synchronized

    • New employees added in Liantis automatically appear in Payflip

    • Changes to employee data in Liantis are automatically applied

  • For whom?

    • Ideal for new customers starting with Payflip

    • For companies that want all employees in Payflip

Option 2: Selective integration (semi-automatic) 🎯

  • What happens?

    • You choose which employees are synchronized

    • Only selected employees appear in Payflip

    • New employees are not automatically added - you must select them manually

  • For whom?

    • Mandatory for migration customers (existing Liantis flex plan users)

    • For companies that only want to give part of their employees access to Payflip

    • For companies with multiple entities that want to synchronize selectively

⚠️ Important for migration customers: If you are switching from the old Liantis flex plan to Payflip, you must always use selective sync to avoid previously excluded employees suddenly being synchronized.

Step 4: Complete the setup

After choosing your sync method:

  1. Confirm your choice

  2. The first synchronization starts automatically

4. Possible problems

Problems during activation

The connection with Liantis is made based on the VAT number of your company. This VAT number can be found in Payflip under Settings > Company details.

When there are differences between the VAT number entered in Liantis and Payflip, an error may occur during activation of the integration.

The following errors may occur during activation of the Liantis integration:

  • Missing VAT number: no VAT number is filled in under 'Company details'.

  • Invalid VAT number: a VAT number is filled in under 'Company details', but it does not have the correct format (at least 10 digits without the BE prefix).

  • Company not found: the VAT number in Payflip has the correct format, but we cannot find your company in the list of Liantis companies for which the integration is available.

  • Internal error: something went generally wrong in the activation process.

  1. Check your VAT number under Settings > Company details

  2. Try again to activate the integration

  3. Complete the consent process on the Liantis platform without canceling

  4. Contact support if the problem persists via the blue button or [email protected]

5. Frequently asked questions

Can I disable the integration? Yes, you can disable the integration at any time via Settings > Integrations > Liantis integration > Disable. Already synchronized data remains in Payflip.

What happens to existing employees when I activate the integration? With full sync, existing employees are matched by email address. With selective sync, you choose exactly which employees you want to synchronize.
​

Can I manually adjust some employee data in Payflip? Most fields are locked because Liantis is the 'master'. You will be informed which fields you cannot adjust and redirected to Liantis.
​

Are changes in Payflip overwritten by the sync? Yes, for most fields. Exception: a user's language is not overwritten after the first sync if the user has changed it themselves.
​

How long does a sync take? Due to performance issues on the Liantis side, a sync can sometimes take longer. Be patient, the sync will complete.
​

Do I need to request wage codes? No! Liantis has predefined wage codes that are automatically set. This is a big advantage compared to other payroll partners.
